Quadrant Software Releases IntelliChief 2.3 with Web Enabled Forms Processing

Quadrant Software, a leading software developer for paperless process management solutions for the System i (iSeries, AS/400) and Windows enterprises, has announced the release of V2.3 of IntelliChief, its document management, workflow, and imaging solution.

Release 2.3 of IntelliChief builds on the foundation of previous versions and adds more capabilities to help companies of all sizes process their documents more efficiently, the company said. Enhancements included in this release were driven largely by customer requirements and the desire to deliver a paperless solution focused on how companies actually manage business processes, the company said.

Dynamic New WebForms

quadrant_webforms_designer.jpgThis new module for IntelliChief allows the creation of Web-based online forms that users can access from any PC with a browser. Purchase requisitions, vacation and time off requests, request for proposal, and other documents can be created as an HTML page and posted on the company's intranet or extranet. Once the form is submitted online, IntelliChief processes the form according to predefined business rules and saves an electronic image of it in the database. This form image can later be retrieved by the IntelliChief's advanced search screen or directly from an ERP or line-of-business application screen.

Intelligent RubberStamp Designer

Another use of this Web designer client is to create customized rubber stamps. Document imaging vendors usually supply a set of predefined rubber stamps that often don't match what customers need. To prevent this, IntelliChief allows the user not only to select from standard rubber stamps that contain the usual "approved" graphic, but also to create fully customizable electronic rubber stamps in both appearance and content. Rubber stamps can also contain "intelligent fields" that calculate values based on the document's indexes or user-entered data.

New No-Programming Integration Templates for Infor XA, Lawson, and Infinium

IntelliChief now offers a streamlined integration method as an alternative to the existing integration via IntelliChief's middleware, using integration templates that don't require source code changes or extensive programming. The integration between IntelliChief and the user's System i ERP system is what makes the paperless solution unique, and now the integration can be done quickly and elegantly in a way that minimizes the impact on IT schedules, since it doesn't require constant maintenance or knowledge of the target application's source code.

The integration module allows users to work from their familiar ERP application screens without having to worry about the document management technology supporting their daily tasks. When the user, for example, opens an invoice inquiry screen and brings up the vendor's invoice details, he can bring up that same invoice's electronic image on the screen automatically. What happens behind the scenes is IntelliChief's integration module at work, analyzing the current screen, the information contained, and retrieving the correct document from the image archive. From there, the user can either fax or email the document to someone else, or retrieve related documents, such as the originating purchase order, acknowledgements, shipping notifications, and even the check used to pay the invoice.

The new integration module has templates for Infor XA (MAPICS), Lawson, and Infor Infinium. Other templates are being designed and will be made available for companies using other ERP applications.

Additional Enhancements

Additional Workflow Flexibility and Speed

·       Improved flexibility in creating, renaming, copying, and using workflow templates: Users have now additional options for utilizing existing IntelliChief workflow templates and instead of creating new ones from scratch, they can modify existing templates with simple copy-and-paste style functionality.

·       Improved performance on multi-stage workflow: For situations when multiple decisions need to be taken by a single person during workflow (example: decide whether to approve or not the invoice, then select user to receive the approved invoice, then setup alert for when the invoice gets vouchered), IntelliChief now has faster processing making it easier for users to work with complex business rules.

Additional Options for Middleware and Integration

·       Enhancement in IntelliChief's middleware for connection with other applications: Usually used in batch processing, the IntelliChief Middleware now has additional capability to serve archived electronic documents and metadata to other business applications upon request without the request having to come directly from IntelliChief. This allows greater flexibility and interoperability between IntelliChief and a company's business systems.

·       Re-indexing of documents with multiple index sets: Sometimes a check issued for a company is supposed to cover payment of multiple invoices. IntelliChief allows for the linking between the check and each individual invoice so that when one invoice is retrieved by a user, the check can also be called on the screen. The linkage happens via indexes contained in both the check and the corresponding invoices. If an index in the check needs to be modified (i.e. the original value was incorrectly typed in), all documents linked to that check may be affected. IntelliChief now handles the update process for these types of multi-index documents to happen automatically, saving the user's time and improving accuracy.

·       New conversion options for legacy imaging systems: IntelliChief now allows users to import images stored in legacy imaging systems into IntelliChief in a faster and more convenient way. MODCA files, used by some imaging systems, as an example, are quickly converted into TIFF, the industry standard. Completed images are then imported into IntelliChief or passed on as result of queries coming from business applications that are using IntelliChief to bridge the gap between the ERP system and the legacy imaging application.

Scanning and Document Capture Enhancement

·        Improvements in the Document Processing Profile (DPP): IntelliChief's DPP allows for easy setup of rules for documents being captured. The DPP determines the type of document being captured into the system, the indexes available for that document type, and the workflow process that will take over the document. The new enhancement helps in cases where a document DPP needs to be changed (due to user error or a change in the process flow or form), this now can be accomplished in an easier way that also preserves indexes already associated with the scanned document.

Release 2.3 is available immediately and is free of charge to existing IntelliChief customers.
