Quadrant Software, a leader in paperless process management (PPM) solutions, has released a case study showing how it recently helped vacuum manufacturer Rexair LLC reduce costs by $10,000 a year and increase productivity through the use of FastFax and Formtastic PPM solutions.

"We didnÆt calculate ROI, but the changes were dramatic," said Rexair IT Operations Manager Steve Prill. "We know we drastically improved productivity and communications. We eliminated 15 fax machines and consequently our monthly phone line charges. We cut postage costs significantly. We feel that the software paid for itself in a very short time," he said.

Rexair LLC was faced with mounting costs due to their archaic business processes. The company is one of the oldest vacuum manufacturers in the world and an Infor System 21 user.Documents at Rexair were created first using expensive preprinted forms and then using a complex document overlay, documents were delivered using manual faxes. Employees worked strictly from the iSeries green screen, disaster recovery procedures were difficult, and changes to forms were expensive and time consuming.

Prill says his company decided to look at Quadrant Software because of the company's solid reputation, then invested in FastFax and Formtastic PPM solutions.

"Any time that I've done anything where software touches my various servers, it's usually ugly, " said Prill. "This was a pretty simple install. Quadrant [Software] really knows their stuff. It was seamless. It was that easy," said Prill.

Thanks to their new PPM solutions, employees at Rexair were empowered with the ability to automatically fax various custom forms, such as order and shipment confirmations, purchase orders, and invoices, directly from their Infor System 21 application screen. Additionally, employees could send and receive faxes directly from MS Outlook or fax documents directly from Infor System 21, Word, and Excel. Now, forms could be quickly created and changed using Formtastic's drag-n-drop GUI.

The company estimates that Quadrant Software's solution has saved it more than $10,000 in costs per year and has dramatically increased productivity.
