The Santa Margarita Water District, which provides water and wastewater treatment services to some 150,000 customers in South Orange County, California, has installed the EZContentManager integrated document management solution from ACOM Solutions, Inc. to provide information storage and access capabilities for the utility’s four departments. The district projects savings of up to $250,000 over five years from using the solution.
EZContentManager is a scalable Web-based system that allows companies to centralize corporate files of any type in a single password-secured SQL data repository with browser-driven, on-board retrieval and distribution engines providing fast and convenient searching and handling. It replaces an earlier solution at the district that had fallen into disuse because of expense and usability issues.
“In selecting a new solution, our criteria were that it be easy to install, learn, and use, easy on our iSeries resources, and that it provide automated migration of documents from the iSeries environment to the content management system,” said Network Administrator Gloria Geisert. “Further, we wanted all storage and processing on a dedicated Windows server with high-level security. EZContentManager more than satisfied all of these requirements.”
EZContentManager interfaces directly with the district’s ACOM productivity solutions, the EZeDocs document output management system and the EZPayManager payment solution. As the solutions generate documents, they are automatically indexed with metadata and relayed to the document repository. Other documents are scanned into the repository and indexed automatically as part of the process. Documents can be retrieved by authorized persons as needed, using either metadata or full-text search.
Both of the productivity systems reside on an iSeries Model 9406-720 and are driven by data from a SunGard-HTE Financial Applications suite for accounting, billing, and associated tasks. Administrative and analytical operations employ Windows applications, utilizing iSeries data.
“We have four departments--administration, engineering, finance and operations-–and each has its own requirements for document storage, maintenance, and distribution,” Geisert said. “Engineering is currently examining the feasibility of linking stored drawings to contract documents and creating a Web-based retrieval system. Finance is exploring an end-to-end application that would link purchase orders, invoices, accounts payable checks and back-up documentation to eliminate paper handling. Human resources would like to image employment documents to enhance security and confidentiality. The possibilities are endless….”
